Overview

We are excited to welcome a friendly and organized Medical Secretary to join our dynamic healthcare team within a manufacturing environment. In this role, you will be the vital link between employees and medical staff, ensuring smooth and efficient administrative operations that support the health and well‑being of our workforce. Your warm and professional demeanor will help create a positive experience for employees from the moment they walk in or call for assistance.

Working in an on‑site medical department located within a manufacturing facility, you will handle a variety of tasks including managing appointments, maintaining accurate employee medical records, and coordinating communication between nurses, doctors, and employees. This role requires strong attention to detail, excellent communication skills, and the ability to thrive in a fast‑paced, industrial setting where employee health and safety are top priorities.

Responsibilities

  • Greet and assist employees in a courteous, professional, and welcoming manner

  • Manage appointments and scheduling for employees and medical staff

  • Maintain and update medical records, files, and documentation accurately

  • Answer phone calls and respond promptly to employee inquiries

  • Coordinate communication between nurses, doctors, and employees

  • Process insurance forms and billing with accuracy and confidentiality

  • Prepare medical reports and correspondence as needed

  • Ensure compliance with healthcare regulations and confidentiality standards

  • Assist with Short‑Term Disability (STD) and FMLA claims, including communication with employees and the third‑party administrator

  • Provide secretarial support such as answering phones, typing, scanning, and organizing files

  • Support nurses with patient scheduling and general clinical administrative needs

  • Organize and participate in Medical Department activities as needed

  • Maintain hygiene, housekeeping, and safety practices within the medical office

  • Perform other duties as assigned by Management

Qualifications

  • Literate with strong communication skills and the ability to interact professionally with employees and medical staff

  • Excellent people skills with a compassionate, patient‑centered attitude

  • Ability to handle highly confidential information with discretion and professionalism

  • Proficient using office equipment including computer, phone, copier, fax, and scanner

  • Ability to learn software systems such as Word, Windows, and OHM electronic health records

  • Strong Excel knowledge with the ability to create, update, and manage spreadsheets

  • Knowledge of Dayforce preferred for HR‑related tasks

  • Strong organizational and multitasking abilities in a fast‑paced environment

  • Regular attendance is mandatory to support consistent medical office operations
